The Customer
Valley National Group, Inc. (VNG) is an independent one-stop
financial services group of companies that offer personalized,
comprehensive and coordinated financial services.
The Challenge
VNG was moving to a new location and wanted to eliminate the
space needed to store client paper files. They also wanted
all client documentation to be readily accessible by multiple
people throughout their organization. At the same time VNG
needed to follow the strict rules and regulations as defined
by the Securities and Exchange Commission (SEC).
The Solution
Fraser developed and implemented a solution using e-archive,
Fraser's automated scanning, image enhancement and indexing
software and Microsoft's SharePoint Portal Server for the
document repository. Documents are scanned and indexed. Index
fields include client name, Social Security Number, date
and document type (Activity, Work Papers, Reports, Tax, Correspondence
to, Correspondence from, etc.). The documents and index information
are stored in SharePoint with appropriate security restrictions
to meet SEC regulations. Users access the Client documents
from their desktop through Microsoft Internet Explorer by
entering any combination of the index data. SharePoint searches
the repository and returns a list of all documents that match
the criteria entered. The documents can be viewed, printed,
faxed or emailed directly from the users desktop.
