Lentz Milling Company, a major distributor of baking supplies in the Atlantic States region.

The Challenge
Every day Lentz Milling’s fleet of 73 trucks are dispatched with loads of baking supplies to fulfill orders from their customers. Each truck makes multiple stops on each run. For every delivery, a delivery slip is signed by the customer. The driver returns the signed slip to the home office where it is sorted, tracked and filed. Each week over 1,250 delivery slips are created. The slips are stored for seven years.

The Solution
Fraser developed a system combining a Canon scanner with earchive, Fraser’s automated scanning and indexing software, to digitalize, index and store the signed delivery slips. The indexing process is totally automated utilizing bar codes on the delivery slips and downloaded data from Lentz’s mainfra me accounting system. After each document is scanned, the system reads the bar coded delivery slip number, finds the associated data in the download file and updates the indexes. Multiple page delivery slips are combined into a single multipage TIFF file. Copies of the scanned and indexed documents are maintained for retrieval by the accounting department through desktop PC’s.

The Benefits
Customer service has been enhanced. When a customer calls to ask about a delivery, the digital image of the slip is instantly available. Previously delivery slips had to be matched to invoices to be sure that every delivery slip was returned. Now, because of the automatic download and indexing, the system reports missing (unscanned) slips. The slips are no longer sorted and filed saving both labor and floor space.
